You can speed up searches for documents in a database by creating a full-text index.
You must have Designer access or higher to create a full-text index for a server-based database. Call your Domino administrator if you need to full-text index a database for which you don't have access. Only your Domino administrator can full-text index a database on the Web.
You automatically have access to create full-text indexes on all local databases, or on databases you have created.
Note With Lotus Notes 6, if you do not have the proper access level, the Update Index, the Create Index, and the Delete Index buttons will be grayed-out (disabled) on the Full Text panel.
To determine if a database is full-text indexed, select File - Database - Properties from the menu and then click the Full Text tab (the magnifying glass).
If the database is full-text indexed, the following information will be displayed on the Full text panel:
Tip You can also determine whether a database is full-text indexed by choosing View - Search this View to display the Search bar. If there is a green circle , the database is full-text indexed. If there is a brown circle , the database is not full-text indexed.
To create a full-text index
1. Select the database and from the menu, choose File - Database - Properties.
2. From the Database Properties box, click the Full Text tab.
3. From the Full Text panel, click "Create Index." The "Create Full-Text Index" dialog box appears.
4. Select the full-text index options you want to apply to this index.
Note You can also create a full-text index for a database from the Search bar. For details on this procedure, see Creating a full-text index.
To count unindexed documents
You can display the number of documents that are not incorporated into an existing full-text index. This unindexed number includes all new documents as well as documents that have been modified since the full-text index was created. This information will help you determine if you need to update your full-text index. To display the number of unindexed documents, click the "Count unindexed documents" button on the Full Text panel.
To update a full-text index
To update the full-text index of a database, follow these steps:
1. Select the database and from the menu, choose File - Database - Properties. The Database Properties box appears.
2. Click the Full Text tab.
3. From the Full Text panel, click "Update Index."
To delete a full-text index
To delete the full-text index of a database, follow these steps:
3. From the Full Text panel, click "Delete Index." A prompt appears that asks if you are certain that you want to delete the index.
4. Click Yes.
